IT AMC Contract Checklist: 12 Clauses to Check Before You Sign

Most computer AMC disputes in Delhi are not about the price. They are about what the price was supposed to include. This checklist lists the 12 clauses CNC includes in every IT AMC, so you can compare any vendor’s contract against it, including ours. If a clause is missing, ask for it in writing before you sign.

The contract should attach a device list: make, model, serial number, location, and user. Without it, “20 computers” becomes an argument the day the 21st machine fails. CNC’s free site assessment produces this list before the quote.

2. Plan type stated per device

Non-comprehensive (labour-only) or comprehensive (labour and parts) should be named per device class, not just once at the top. It is normal to put newer desktops on labour-only at ₹1,200–₹1,800 per device per year and older machines on comprehensive at ₹2,500–₹4,500, GST extra, inside the same contract.

3. Parts coverage spelled out

For comprehensive plans, the contract should list which parts are replaced free (RAM, HDD/SSD, SMPS, fans, keyboards, network cards) and which are not (laptop screens and hinges, printer consumables, UPS batteries). For labour-only plans, it should say parts are billed at actual market price with a supplier invoice.

4. Response and resolution SLA

“Prompt service” is not an SLA. Look for a number: CNC commits to a 4-hour on-site response in Delhi for critical failures and a 30-minute remote response during working hours. Check whether the SLA runs on working hours (Mon–Sat 10 AM–7 PM is standard) or calendar hours.

5. Visit policy: unlimited or capped

Unlimited visits should say “unlimited”. If the plan is capped (for example, 12 on-site visits per year plus unlimited remote visits), the overage rate per visit must be stated in the contract.

6. Preventive maintenance schedule

Quarterly is the norm: cleaning, thermal check, disk health, backup verification. Monthly visits are included in comprehensive plans for 50+ devices. The schedule should be a clause, not a verbal promise.

7. What is out of scope

Every AMC should list exclusions explicitly: accidental and liquid damage, theft, electrical surge damage, software licenses, data recovery from failed drives (usually a separate service), and equipment not on the asset list.

8. Engineer credentials and escalation

Ask who comes on site. The contract should specify the escalation path (engineer → account manager → owner), including phone numbers. A single point of contact is standard on CNC comprehensive plans.

9. Reporting

A monthly ticket report (raised, resolved, pending, parts replaced) is what makes the AMC auditable at renewal. If the vendor does not offer one, you will be renewing on memory.

10. Payment terms and GST

Annual advance typically earns a 5–10% discount; half-yearly and quarterly advance are standard for smaller offices; monthly billing applies to weekly-visit and remote plans. The contract should show GST at 18% separately and state the invoice schedule.

11. Adding and removing devices mid-term

Offices grow. The contract should state the pro-rata rate for a device added in month seven and whether a retired device is credited. This is the clause most often missing.

12. Term, renewal and exit

Twelve months is standard. Check for automatic renewal, the notice period (30 days is fair), and what happens to open tickets and your documentation (passwords, network diagrams, asset register) if you leave. Your documentation should be handed over; it is yours.
