Why Every Delhi Office Needs a Regular IT Health Check

Delhi NCR businesses face a specific set of IT risks that make regular health checks more important than many business owners realise:

  • Power quality issues — Delhi's power supply frequently experiences spikes, sags, and outages. A UPS system with a degraded battery provides no real protection. HDD and server failures from power events are one of CNC's most common service calls across Delhi NCR.
  • Heat and dust — Delhi's climate means computers accumulate dust faster than most cities. Blocked vents cause overheating, which shortens the life of CPUs, HDDs, and power supplies. Annual cleaning is essential.

Section 1 — Hardware: Laptops, Desktops & Workstations

1. Laptop and desktop physical condition

Check for cracked screens, damaged hinges, broken keys. Note any machine that is making unusual noise (HDD clicking, CPU fan rattling). These are early warning signs of imminent failure.

2. HDD / SSD health status

Run a SMART health check on every HDD and SSD. Free tools: CrystalDiskInfo (Windows) or Disk Utility (Mac). Any drive showing "Caution" or "Bad" status needs immediate data backup and replacement. CNC provides data recovery in Delhi NCR — no data, no charge.

3. Dust cleaning — vents, fans, and keyboards

In Delhi's climate, dust accumulates in 3–6 months. Blocked vents cause thermal throttling (slow performance) and premature hardware failure. Annual compressed-air cleaning is essential for every desktop and laptop.

4. Printer and peripheral status

Check printer consumable levels (toner, ink, drum unit). Note any printer error codes or paper feed issues. Check all USB hubs, monitors, and peripherals are functioning correctly.

5. UPS battery runtime test

Disconnect the UPS from mains power and time how long it keeps the connected equipment running. Most 600VA UPS units should give 10–15 minutes backup with a healthy battery. Less than 2 minutes means the battery is dead. This is the single most commonly failed check in Delhi offices. UPS batteries typically last 2–3 years in Delhi's climate and must be replaced proactively.

6. Surge protector and earthing check

Verify all servers, workstations, and network equipment are connected through a UPS or at minimum a surge-protected power strip. Check building earthing with an electrician if server or network equipment has experienced unexplained failures.

7. Wi-Fi password and router security

When did you last change your office Wi-Fi password? Check who is currently connected to your network (router admin panel → connected devices). Any unrecognised device is a security risk. Change the Wi-Fi password if it has not been changed in 12 months or after any staff departure.

8. Network switch and LAN cable condition

Check all network switch indicator lights — any port showing amber or blinking red indicates a fault. Inspect LAN cables for pinching or damage, particularly cables that run under flooring or through doorframes. A single faulty patch cable can cause intermittent network issues that are difficult to diagnose.

Section 4 — Data Backup & Recovery

9. Last backup date and test restore

Check your backup software's last successful run date. Then do a test restore of at least one actual file to confirm the backup is genuinely usable. This step is almost never done in practice — and discovers silent backup failures before they become disasters. If your business uses Tally ERP, check the Tally data folder backup separately.

10. Offsite or cloud backup in place

A backup to an external HDD kept in the same room as the server is not a real backup — it will be destroyed in the same fire or flood. Confirm you have at least one offsite copy (cloud storage, OneDrive, Google Drive, or a weekly backup taken home) of critical business data.

Section 5 — Cyber Security & Software

11. Antivirus status on all machines

Check that antivirus is active, up to date, and licensed on every machine — including laptops used by field staff and work-from-home employees. An expired antivirus licence provides no protection. 12. Former staff access revoked

For every staff member who has left in the last 12 months: confirm their email account is deactivated, their Windows login is removed, their VPN/remote access is revoked, and their access to shared drives is removed. For Microsoft 365 or Google Workspace, check user accounts in the admin console. This is an overlooked DPDP compliance and cyber security requirement.

Bonus Check — CCTV & Physical Security

If your office has a CCTV system, add these three checks to your quarterly review:

  • CCTV is recording and footage is accessible: Play back footage from exactly 24 hours ago. If you cannot, either the DVR/NVR is not recording, the HDD is full, or the HDD has failed.
  • CCTV HDD space remaining: Log into your DVR or NVR admin panel and check the storage percentage used. CNC recommends a minimum of 30 days of footage retention — resize or replace the HDD if retention has dropped below this.
  • Remote viewing working on your phone: Open the Hik-Connect or gCMOB app on your mobile and confirm live view is working. Remote viewing breaks more often than most people realise — firmware updates, IP changes, or router resets all cause it to stop working silently.
